Inspection to Repair: How to Close the Maintenance Gap in Public Safety Fleets
For a fire department or first responder fleet, identifying a maintenance issue during a daily vehicle inspection is just the beginning. What happens next determines how quickly the issue is resolved and how soon the asset can return to service.

What you need to know
- Communication gaps create unnecessary downtime: When inspection findings are reported through disconnected channels, maintenance issues can be delayed or missed, putting public safety fleet readiness at risk.
- Connecting inspections and maintenance speeds up repairs: The PSTrax and Fleetio integration automatically sends reported maintenance issues to fleet teams, eliminating manual handoffs and helping shops respond sooner.
- Real-time visibility keeps crews informed: Firefighters, EMTs and other personnel can track repair progress directly in PSTrax without contacting the maintenance shop for updates.
- Better documentation strengthens accountability: Connecting inspection findings to maintenance records helps departments track issues through resolution and supports audits, accreditation and NFPA-related documentation.
- Faster reporting helps keep emergency vehicles ready: Celina Fire Department reported reduced apparatus downtime and improved communication after connecting its inspection and maintenance workflows.
During a recent webinar, Fleetio and PSTrax focused on this critical window in public safety fleet maintenance: the 90 seconds between identifying an issue and notifying the maintenance team.
It's a small timeframe, but without a clear process for reporting and tracking issues, it can turn into hours or even days of unnecessary downtime. And for public safety fleets, that means one less asset available to respond to your community.
The Problem
The faster the shop knows about the problem, the sooner maintenance can start moving. And without a connected workflow, that information may have to travel through phone calls, radio channels, email inboxes, paper planes and multiple spreadsheets before it finally reaches the right person.
Every additional handoff creates another opportunity for something to get delayed, missed or downright forgotten.
The webinar's attendee polling illustrated the problem. About 30% of respondents reported using verbal or radio communication to report vehicle issues, while roughly another 30% used email. Another 8% reported using pen and paper.
Poll: How do you report vehicle issues today?
| Reporting method | Share of respondents |
|---|---|
| Verbal or radio communication | About 30% |
| About 30% | |
| Pen and paper | 8% |
Those methods aren't necessarily ineffective on their own. But when several people and systems are involved, keeping track of what's been reported and what's being addressed becomes more difficult.
In a second poll, 55% of respondents identified missed or delayed issues as one of their biggest challenges in managing vehicle issues.
For public safety fleets, where vehicle availability directly affects operational readiness, those communication gaps matter.
Close the Gap
The PSTrax and Fleetio integration creates a direct connection between the people inspecting emergency vehicles and the people responsible for maintaining them. Here's how it works:
- Complete daily inspections in PSTrax. Crews continue performing their regular vehicle checks using their existing inspection workflows.
- Send maintenance issues directly to Fleetio. When crews identify an issue that needs attention, they select Send to Fleet Provider to automatically create an issue in Fleetio.
- Review and resolve issues in Fleetio. Maintenance teams can review reported issues, prioritize repairs and manage the work through their existing maintenance processes.
No duplicate data entry, separate emails or phone calls needed to get maintenance issues in front of the right people. And that distinction is a big deal.
Firefighters, EMTs and other frontline personnel don't have to learn or monitor another maintenance platform. And fleet teams don't have to rely on someone to remember to notify the shop every time an issue is identified. Each team continues working in the system it already uses, while the information moves between them.
During the webinar, PSTrax Product Manager, Ben Rasmussen demonstrated the process using a flat tire discovered during an inspection. After submitting the issue in PSTrax, he showed how it appeared in Fleetio in seconds.
From there, the maintenance team could manage the repair through its normal workflow.
“The key point here is about that visibility,” Rasmussen explained, so personnel in fire, EMS and law enforcement can stay in PSTrax while maintenance teams continue working in Fleetio.
The process doesn't change who is responsible for completing the work. It removes unnecessary steps between identifying the problem and getting it in front of the people who can address it.
Give Crews an Answer
Reporting a maintenance issue is just one part of the beginning of the communication process. Keeping crews informed while the asset is being repaired is another.
When a frontline fire engine or ambulance goes into the shop, crews need to know whether the issue has been addressed, whether repairs are underway and when the asset might be available again.
Without that information, company officers or supervisors may need to contact maintenance for an update. Those requests can interrupt technicians and maintenance managers who are already coordinating repairs.
With the integration, issue status from Fleetio is reflected back in PSTrax. Authorized personnel can see whether an issue is open, in progress or resolved without contacting the shop.
For Celina Fire Department, that visibility has helped address communication problems that previously affected its maintenance process.
During the webinar, Chief Beamis, Division of Training and Logistics, explained that maintenance information didn't always reach the right people. Sometimes, personnel would return at the beginning of the week to find equipment broken or out of service because an earlier report hadn't made it through the chain of communication.
After connecting PSTrax and Fleetio, the department gained a way for battalion chiefs, administrative staff and other authorized personnel to track reported issues and their status.
“What we're seeing now is that all of our battalions and all of our admin staff and any of the members that have the access, they can track the status of the equipment now,” Cheif Beamis said.
Personnel can see when an issue was reported, who reported it and whether maintenance has addressed it. Instead of contacting the shop to find out what's happening, they can check the information themselves.
For a department managing multiple stations, shifts and frontline assets, that access reduces the need to repeatedly pass along maintenance updates.
Get Maintenance Moving
Faster communication gives maintenance teams more time to respond.
Some inspection findings require immediate attention. Others don't take a vehicle out of service, but still need to be addressed.
Getting that information to the fleet as soon as it's identified means the shop can start planning before the asset arrives.
The team may be able to order a needed part, adjust the day's schedule or coordinate the repair with upcoming preventive maintenance.
Instead of discovering the problem when the vehicle shows up at the shop, maintenance already knows what's coming.
That can be especially valuable for fire departments managing specialized apparatus, where repair needs and parts availability can affect how quickly a frontline unit returns to service.
At the Celina Fire Department, Beamis reported that apparatus downtime decreased because the department could get people to report problems sooner.
“So we're seeing apparatus downtime decreasing because we're able to jump on these things much quicker,” Beamis said.
He also described improvements in preventive maintenance, as personnel became more diligent about completing inspections and reporting issues.
With more people able to monitor reported problems, the department could identify maintenance needs earlier rather than waiting for them to become larger repairs.
Chief Beamis' experience highlights the operational value of faster issue reporting, and for public safety fleets, that value goes beyond shop efficiency. Reducing avoidable maintenance delays can help keep more emergency vehicles available when they’re needed.

Keep It Connected
There's another challenge with managing inspections and maintenance separately: Eventually, someone needs the complete story, to see the whole picture.
When was the issue discovered? Who reported it? What happened afterward? How was it repaired?
That history can matter during an accreditation process, an audit or when documentation is requested years after an incident.
During the webinar, John Thibert, Customer Support Manager (Retired Deputy Chief) at PSTrax and a retired fire service deputy chief, described receiving requests for inspection and repair records following incidents involving department vehicles.
“I know as a deputy chief, I had a lot of phone calls from lawyers wanting inspection and repair records, in many cases when our units were involved in some type of traffic incident,” Thibert said.
Those requests required documentation showing not only that an issue had been identified, but also what the department did to address it.
The PSTrax and Fleetio integration creates a more traceable link between the original inspection finding and the subsequent maintenance work.
Crews can view issue status in PSTrax, while fleet teams maintain repair information in Fleetio.
This gives departments a clearer path to track reported issues through to resolution without having to piece together disconnected communications.
For agencies managing documentation related to National Fire Protection Association (NFPA) standards, accreditation or other recordkeeping requirements, that visibility can make information easier to both retrieve and review.
It also helps establish accountability throughout the maintenance process.
It's Not All Work Order Worthy
A connected workflow shouldn't disconnect judgment from the process.
A crew might report something as simple as low windshield washer fluid that can be handled at the station. That doesn't necessarily need to become a maintenance issue in Fleetio.
PSTrax allows departments to determine which findings to send to their fleet provider.
During the webinar, Rasmussen explained that this flexibility was intentional. Some departments want to escalate nearly every vehicle maintenance issue, while others prefer to handle minor findings internally.
“So that's why we just erred on the side of giving the optionality on that one,” Rasmussen explained.
Giving crews the option to send an issue to fleet allows agencies to build a reporting process around how they actually operate.
The same principle applies when an issue is resolved.
A repair being completed in Fleetio doesn't necessarily mean the vehicle has physically returned to its station or is ready for service.
For example, a municipal maintenance shop might finish repairing a fire engine, but the department still needs to receive the vehicle and confirm that it's ready to return to duty.
That's why resolving an issue in Fleetio updates its status in PSTrax without automatically closing the corresponding PSTrax alert.
The department can provide its own final confirmation once the vehicle is back and the issue has been addressed from the operations side.
That distinction helps keep maintenance status and operational readiness from being treated as the same thing.
Build a Better Handoff
A maintenance issue can involve several people before the repair is ever complete. Each person needs different information, but the process depends on the right information reaching the right people.
The PSTrax and Fleetio integration connects inspection and maintenance workflows to help teams:
| Goal | What the integration does |
|---|---|
| Report issues without extra steps | Maintenance findings flow from PSTrax into Fleetio without additional manual handoffs. |
| Keep repairs moving | Maintenance teams can review reported issues and manage repairs in Fleetio. |
| Stay informed on repair progress | Crews can monitor issue statuses in PSTrax without chasing down updates. |
For Celina Fire Department, that connection has reduced the need to chase updates and helped the department respond to maintenance findings sooner.
As Chief Beamis put it, “It's closed that communication gap.”
An inspection can identify a problem before an asset goes into service. A reliable handoff helps make sure the finding reaches someone who can actually do something about it.
