It can be quite the feat to keep fleet assets operating smoothly, but a key part of fleet efficiency and management is taking the necessary steps to reduce asset downtime. When dealing with various asset types and ages that run under various conditions and have various maintenance needs… well, it can be a bit of a challenge, even for the most veteran of fleet managers and technicians. That’s where service programs come in.
What are Service Programs in Fleetio?
Service programs in Fleetio operate as a preventive maintenance (PM) schedule and provide a way to automatically — and conveniently — apply service reminders to asset groups that share common PM needs. These needs can be parsed out by specific criteria, such as make/model/year, fuel type, body type and more.
Previously, Fleetio users were limited to one criteria when setting up a service program, which led to some assets not getting added to or removed from service programs when they should be, based on new purchase or criteria changes.
That’s why we’re excited to announce a new fleet automation feature in Fleetio: Service Program Automation!

That’s right, we’re adding a whole new level to our automated fleet management system. While “automation” is a term that’s fully entered into the zeitgeist at this point, it can still cause hesitation. But there’s no need to be threatened by automation. In fact, automation for large fleets can be a game changer.
Before the release of service program automations, I was having to manually adjust service program assignments for nearly 9,000 assets across 132 locations. I’m now saving hours every day by automating that process, and it’s made it where we’re not missing anything. The ability to rely on this automation has not only been a tremendous time-saver, but has also ensured that we're consistently on top of our fleet's maintenance needs. Service Program Automation in Fleetio helps ensure your vehicles are maintained using the appropriate PM at the appropriate time with the lowest amount of involvement. You can now add multiple criteria, including custom fields, to traditional service programs, which act as a service program rule. This update ensures your service programs are more in tune with the needs of an asset or asset groups.
Service Program Rules in Fleetio
Service Program Rules allow you to create if/then statements to apply service programs across similar fleet assets automatically.
Example:
IF the Body Type is Pickup
AND the Fuel Type is Gasoline
THEN apply our Standard Asset Service Program
Once you save your service program rules within a new or existing service program, any assets matching the criteria will automatically be added to it, and any assets that lose one of the criteria will be automatically removed. And, when assets are added to or removed from a service program, you’ll easily be able to view that activity in the asset’s record history in case you notice a certain PM schedule isn’t quite working for a specific asset.
Guide to building service programs in Fleetio
All in all, with our new Service Program Automation feature, you can enjoy a little less stress around whether PM is getting addressed and focus instead on more critical aspects of the job.
